Websites and enquiry systems for event venues and banquet halls

Weddings, engagements and large family celebrations are a big part of life in Azerbaijan, and the venues that host them — wedding palaces (şadlıq sarayı), banquet halls, restaurants with event halls — compete for a limited number of popular dates. Couples and families compare venues online before visiting. The venue that answers fastest and most clearly usually gets the visit, and the visit usually decides the booking.

In short

In short

  1. 01

    Each hall needs its own page: capacity, layout options, photos from real events, menu options.

  2. 02

    Date availability is the first question; showing it, or answering it within minutes, wins visits.

  3. 03

    Enquiries arrive by phone, WhatsApp and Instagram at all hours; they must land in one list with follow-up.

  4. 04

    Menus and packages with clear structure reduce back-and-forth, even if final prices are agreed individually.

  5. 05

    Real photos and video from events sell more than any description.

Overview

What families look for

  • Capacity: how many guests each hall seats, in which layouts.
  • Available dates in the season they are considering.
  • Menu and packages: what is included, options for different budgets, whether outside catering or cakes are allowed.
  • Photos and videos of the hall decorated for real events, day and evening.
  • Location, parking and access for elderly guests.
  • Additional services: decoration, music, photographers, cars — own or partners.
  • How to visit and who to talk to.

Hall pages

A single "gallery" page with every photo mixed together makes comparison hard. We recommend a page per hall with its own photos, capacity table, floor plan if available, typical event formats and a direct enquiry button that already includes the hall's name. This also lets search engines and maps link to specific halls.

Availability

Popular dates sell out early. Options, from simplest to most complete:

  • a clear statement of how to check a date, with a fast reply commitment;
  • a calendar showing booked dates for each hall, updated by staff;
  • a reservation system where a manager can hold a date for a short period pending a deposit.

A calendar that is not kept up to date is worse than none, so the choice depends on who will maintain it. See online booking systems.

Enquiries and follow-up

Families often contact several venues at once. The one that replies first with useful information — available dates, capacity, starting menu options — is the one they visit. We connect all channels to one inbox or CRM, so every enquiry has an owner, a status and a reminder:

  • website forms with hall, date and guest count;
  • WhatsApp and Instagram messages, answered by a bot outside working hours with basic information and a promise of a call;
  • phone calls logged with their source.

See CRM integration and WhatsApp chatbots.

Final prices for large events are usually agreed individually, but structured menus and packages on the site — with what is included and what can be added — help families understand what to expect and prepare for the meeting. Where exact prices are not published, a clear description of what affects the price is still useful.

Seasons and advertising

Demand has clear seasons, and certain periods — such as Ramadan and Muharram — are traditionally quieter for weddings. Advertising and content should follow the calendar: see marketing calendar for Azerbaijan. Instagram and video formats are the main channels for this category, with search capturing families who already know what they want.

What to measure

  • Enquiries by hall, channel and requested month.
  • Time to first reply.
  • Share of enquiries that led to a visit, and visits that led to a booking.

FAQ

Frequently asked questions

Should we publish prices?

Many venues publish starting menu prices or price ranges and agree final terms individually. Clear information reduces time spent on enquiries from families whose budget does not match.

Can families book a date online?

A soft hold — a date reserved for a short period until a deposit or visit — works well. Full online booking with payment is less common for large events, where families want to see the hall first.

Is a separate website needed if we have a busy Instagram?

Instagram shows atmosphere; a website organises information by hall, answers practical questions, appears in search and maps, and captures enquiries into a system rather than a phone.
