Online booking and appointment systems

An online booking system lets a customer choose a time, a room, a specialist or a vehicle and secure it without a phone call. For the business it removes the back-and-forth of "is Tuesday at five free?" and fills the schedule outside working hours. We build booking flows for websites, apps and messengers, connected to the calendar or system that holds your real availability.

In short

In short

  1. 01

The first question is where availability lives: a property management system, a clinic's medical system, a shared calendar or nowhere yet.

  2. 02

Double bookings happen when two systems hold availability separately; one source of truth is the rule.

  3. 03

Deposits and prepayments reduce no-shows but add friction; the policy should match the service.

  4. 04

Reminders by messenger or SMS are one of the cheapest ways to reduce missed appointments.

  5. 05

Staff need a simple way to see, move and cancel bookings — the admin side matters as much as the customer side.

Scope

Types of booking we build

  • Time slots with a specialist — clinics, salons, consultants, training. The customer chooses a service, a specialist and a time; duration depends on the service.
  • Nights and rooms — hotels, guesthouses, apartments. Availability by date range, rates by season and occupancy, minimum stays. See hotels.
  • Places on a scheduled event — tours, classes, workshops. Limited capacity per session.
  • Equipment and vehicles — car rental, equipment hire. Availability by date and time, pickup and return locations.
  • Tables and venues — restaurants, banquet halls, meeting rooms.

Each has different rules, so we design the logic around your case rather than forcing it into a generic calendar.

Where availability comes from

If you already use a system that manages schedules — a property management system, a channel manager, a clinic system — the booking flow reads and writes availability through its API. The website becomes a new sales channel for the same inventory. If you do not have such a system, the booking engine itself becomes the source of truth, with an admin panel for staff.

The worst option is a website calendar that someone updates by hand from another system. It works until the first busy day. The trade-offs between an embedded booking engine and a custom one are covered in own booking engine vs OTA.

The customer side

  • A short flow that works on a phone: service, time, contact details, confirmation.
  • Clear prices and cancellation rules before the customer commits.
  • Optional prepayment or deposit through a local payment provider; see payment gateway integration.
  • Confirmation by email and messenger, with a link to reschedule or cancel.
  • Reminders before the appointment.
  • Booking in the customer's language on multilingual sites.

The staff side

  • A calendar view by day, specialist or resource.
  • Manual bookings for phone and walk-in customers in the same calendar.
  • Moving and cancelling bookings with automatic notifications to the customer.
  • Blocking time for holidays, breaks or maintenance.
  • Reports: occupancy, no-shows, cancellations, revenue by service.

Booking in messengers

In Azerbaijan many customers prefer to write on WhatsApp or Telegram rather than fill in a form. A bot can offer available slots and confirm a booking inside the conversation, using the same availability as the website. When the request is unusual, it hands over to a person. See WhatsApp chatbots.

What we need from you

  • Your booking rules: durations, buffers, capacity, cancellation and no-show policy.
  • The system where availability lives now, and access to its API documentation if it has one.
  • Who manages bookings on your side and how they work today.
  • Whether prepayment is needed and through which provider.

FAQ

Frequently asked questions

Can the booking system work with our existing medical or hotel software?

If that software has an API or a supported integration, yes. We check its documentation first; some systems only allow reading availability, others also allow creating bookings.

Should we require prepayment?

It depends on the cost of a no-show. For high-value or limited slots a deposit is reasonable; for short, low-cost appointments, reminders often reduce no-shows enough without adding friction.

Can customers book through Instagram?

Instagram can link to the booking page, and messages can be answered by a bot that offers slots. The booking itself should still be written to the same calendar as every other channel.
