UTM tags: a practical guide with naming rules
UTM parameters are short tags added to links that tell analytics where a visitor came from: which platform, which type of traffic, which campaign. Without them, visits from Instagram stories, WhatsApp broadcasts, email newsletters and partner links blur into "direct" or "referral" traffic, and you cannot tell which efforts work. With inconsistent tags, reports fill with duplicates. This guide gives naming rules that keep data clean.

In short
In short
- 01
Use UTM tags on every link you control outside your site: ads (where auto-tagging does not cover it), social posts, bio links, emails, messenger messages, QR codes, partner links.
- 02
The three essential parameters are
utm_source,utm_mediumandutm_campaign;utm_contentandutm_termadd detail. - 03
Agree on lowercase, consistent names and keep them in a shared sheet.
- 04
Never tag internal links on your own website — it breaks session attribution.
- 05
Pass UTM values into the CRM with each enquiry, so sales can be traced to campaigns.

Guide
The parameters
| Parameter | Answers | Examples |
|---|---|---|
utm_source | Where exactly? | instagram, facebook, google, newsletter, partner-name |
utm_medium | What type of traffic? | cpc, paid-social, social, email, messenger, qr, referral |
utm_campaign | Which campaign? | novruz-2026, spring-sale, webinar-march |
utm_content | Which ad or link variant? | video-a, story-link, bio |
utm_term | Which keyword or audience? | lookalike-1, brand |
Naming rules
- Lowercase only: analytics treats "Instagram" and "instagram" as different sources.
- Hyphens, no spaces:
spring-sale, notspring sale. - Fixed lists for source and medium: decide the allowed values and stick to them.
- Latin characters: avoid Azerbaijani or Cyrillic letters in parameters to prevent encoding problems.
- Descriptive campaign names with dates where useful:
novruz-2026.
A shared tracking sheet
Keep one spreadsheet or tool where every tagged link is created and recorded: date, channel, campaign, full URL, owner. Build links from it rather than typing parameters by hand. This is the simplest way to keep naming consistent across a team and contractors.
Where to use UTM tags
- Instagram bio links and story links.
- WhatsApp and Telegram broadcasts and channel posts.
- Email newsletters (many email tools add tags automatically — check their naming).
- QR codes on printed materials and in stores.
- Links in partner websites, directories and press releases.
- Ads on platforms without auto-tagging, or where you want consistent naming across platforms.
Google Ads uses auto-tagging (the gclid parameter) with GA4; keep it enabled. Manual UTMs can be added for consistency with other tools.
Where not to use them
Internal links on your own site. A tagged internal link starts a new session with a false source, overwriting the real one.
From analytics to CRM
To connect campaigns with sales, capture UTM values when the visitor arrives, store them in the browser for the session, and submit them with the form into hidden fields. The CRM then records the source of each lead. See end-to-end analytics.
Messenger links with source
For WhatsApp links, a pre-filled message can include a short reference ("Hello, I am writing from the spring offer page"), which helps the team and the CRM identify the source of conversations.
Common mistakes
- Mixed case and spelling variants of the same source.
- UTM tags on internal links.
- Different team members inventing their own mediums.
- Forgetting tags on bio links and QR codes — often a large source of traffic.
- Losing UTM values between landing page and form.
