Internal tools and admin panels for your team

Many companies run important processes in spreadsheets, messenger groups and email threads: applications, approvals, orders, inspections, requests from branches. It works until it does not — a formula is overwritten, a message is lost, nobody knows which file is current. An internal tool moves the process into one web application with clear roles, a history of changes and reports that do not need to be assembled by hand.

In short

In short

  1. 01

The best candidates are processes that are frequent, involve several people and already follow informal rules.

  2. 02

We design screens around what each person does every day; speed of data entry matters more than visual polish.

  3. 03

Every change has an author and a timestamp, so disputes about "who changed this" disappear.

  4. 04

The tool connects to the systems you already use instead of duplicating them.

  5. 05

A ready-made SaaS product is often cheaper when your process is standard; custom tools pay off when the process is your advantage or does not fit any product.

Scope

Typical internal tools

  • Request and approval flows: purchase requests, leave requests, discounts that need a manager's approval.
  • Operations panels: orders from several channels in one list, with statuses and responsible people.
  • Field work: inspections, installations or deliveries recorded from a phone, with photos and signatures.
  • Registries: contracts, equipment, vehicles, licences with expiry reminders.
  • Admin panels for your website or app: content, users, orders, notifications.
  • Dashboards that replace weekly reports compiled from several files.

How we design them

We start from the current process

We look at how the work is done now, including the workarounds: the extra column someone added, the colour code only one person understands, the chat where urgent cases are escalated. These are requirements in disguise. See replacing spreadsheets with a web app.

Roles before screens

Who creates a record, who approves it, who only views, who can export data. Permissions are designed around real jobs, with the principle that people see what they need and nothing more. See designing roles and permissions.

Working screens

The screens people use forty times a day get the most attention: tables with filters and saved views, keyboard-friendly forms, bulk actions, sensible defaults. Two fewer clicks on a frequent operation add up to hours per month per employee.

History and reports

Every record keeps its change history. Reports and exports are built for the questions management actually asks, not as a generic "export everything" button.

Integrations

The tool reads and writes data from your CRM, accounting system, website or messengers, so nobody retypes the same information. See API integrations.

Custom tool or ready-made software?

If the process is standard — a CRM for a sales team, a helpdesk, an HR system — a ready-made product is usually faster and cheaper, and we will say so. A custom tool makes sense when the process is specific to your business, when ready-made products force you to change the way you work in ways that cost more than development, or when several systems have to be tied together. The comparison is in SaaS vs custom software.

Rollout

Moving people off spreadsheets is as much about habits as about software. We migrate existing data, run the new tool in parallel for a short period if needed, and train the people who will use it. Adoption is measured: if a section is not used, we find out why.

What we need from you

  • How the process works now, including exceptions.
  • Who is involved and what each person does.
  • Where the data lives today and access to it.
  • A person on your side who owns the process.

FAQ

Frequently asked questions

Can the tool be used on phones?

Yes. Internal tools are built as responsive web applications; screens used in the field are designed for phones first.

What happens to our existing spreadsheets?

Data is migrated into the new tool with a script, checked, and the spreadsheets are archived. For a short period both can run in parallel.

Can we add features later?

Yes. Internal tools usually grow step by step: the first version covers the core process, later versions add reports, integrations and new processes.
