Websites and parent portals for private schools and kindergartens
Parents choosing a private school or kindergarten make one of their most careful decisions. They read everything, compare programmes, visit several schools and talk to other parents. Once their child is enrolled, their relationship with the school moves online: schedules, homework, grades, payments and messages from teachers. A school's digital presence has to serve both stages — admissions and daily life.

In short
In short
- 01
The admissions website answers parents' real questions: curriculum, language of instruction, teachers, safety, daily routine, fees and admission steps.
- 02
Open days and visits are the key conversion; registration should be simple and followed up personally.
- 03
A parent portal brings schedules, homework, grades, announcements and payments into one place.
- 04
Children's data is especially sensitive; access, consent and storage require careful design.
- 05
Communication should move from scattered messenger groups to a channel the school controls.

Overview
The admissions website
- Curriculum and approach: national curriculum, international programmes, bilingual or trilingual instruction — explained clearly with what it means for the child.
- Languages of instruction: many families in Azerbaijan choose between Azerbaijani, Russian and English sections; each should be described.
- Teachers and leadership: qualifications and experience, presented with their consent.
- Daily routine: hours, meals, after-school activities, transport.
- Safety and facilities: security, medical care, grounds, classrooms — with real photos.
- Fees and admissions: stages, documents, deadlines, fees or how they are communicated.
- Open days: dates and a registration form.
The website should be available in the languages of the families you serve. See multilingual websites.
Admissions process
Registrations for open days and applications go into a CRM or admissions system, with stages: enquiry, visit, assessment, offer, enrolment. The admissions team sees who needs a call, and the school sees which channels bring enrolled families. See CRM integration.
Parent portal
A portal or app for enrolled families typically includes:
- timetable and changes;
- homework and assignments;
- grades and teacher comments;
- attendance and absence notifications;
- announcements and events calendar;
- fees, invoices and online payments;
- messages between parents and teachers or administration.
The portal draws data from the school management system where one is used. See customer portals.
Children's data
Information about children — names, photos, grades, health notes, attendance — must be protected with care:
- roles that restrict access: a teacher sees their classes, a parent sees their own child;
- consent for photos and publication, recorded and respected;
- secure authentication for parents;
- hosting and retention decisions in line with Azerbaijan's personal data law — see personal data law.
Communication
Class messenger groups are convenient but hard to control: messages get lost, private information is shared too widely and new parents miss history. A school-controlled channel — portal notifications, an app or an official messenger bot — for important announcements, while informal groups remain informal, reduces confusion.
What to measure
- Open day registrations and attendance.
- Conversion from visit to application and enrolment.
- Portal usage by parents and online payment share.

FAQ
Frequently asked questions
Should fees be published on the website?
Many parents expect at least a fee range or structure. Publishing it saves time for both sides; some schools share exact fees during the admissions meeting.
Can we use a ready-made school management system?
Often yes. The website and portal can connect to it if it has an API. Custom development makes sense for specific needs or integrations the system cannot handle.
Is an app necessary for parents?
A responsive web portal works on phones. An app adds push notifications and convenience for schools where parents check information daily.
